Privacy Policy

ValidPixel LLC ("Ringzy," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our AI-powered phone answering service at ringzy.ai (the "Service").

By using Ringzy, you consent to the data practices described in this policy. If you do not agree with the terms of this Privacy Policy, please do not access the Service.

Account Information: When you register, we collect your name, email address, business name, and password (stored as a secure hash). We may also collect billing address information required to process payments.

Call Data: Our Service records and transcribes phone calls handled by the Ringzy AI. This includes caller phone numbers, call duration, conversation transcripts, appointment details, and AI-generated call summaries.

Billing Information: Payment details (credit/debit card numbers, billing address) are collected and processed by our payment processor, Stripe. Ringzy does not store full card numbers on our servers.

Google Calendar Data: If you choose to connect Google Calendar for appointment booking, we access your calendar as described in Google User Data below.

Usage Data: We automatically collect log data such as IP addresses, browser type, pages visited, and feature usage to improve the Service.

We use the information we collect to:

• Provide, operate, and maintain the Ringzy Service
• Process payments and manage your subscription
• Send call summaries, transcripts, and notifications via email or SMS
• Respond to customer support inquiries
• Improve and personalize the AI experience
• Comply with legal obligations and enforce our Terms of Service
• Send product updates and marketing communications (you may opt out at any time)

Ringzy integrates with the following third-party services to deliver the Service. Each has its own privacy policy governing data use:

• Twilio — Phone number provisioning and call routing
• OpenAI — AI language model powering call conversations and transcription
• Stripe — Payment processing and subscription management
• Google Calendar — Optional calendar integration for appointment booking
• Postmark — Transactional email delivery (call summaries, notifications)
• Supabase — Database and authentication infrastructure
• Microsoft Clarity — Website analytics, session replay, and heatmaps

We do not sell your personal information to third parties for advertising purposes.

Connecting Google Calendar is optional. It lets your Ringzy AI receptionist book, reschedule, and cancel appointments for your callers. If you connect it, you sign in with Google and grant Ringzy access to Google Calendar (the calendar permission). Ringzy does not request access to any other Google data, such as Gmail, Contacts, or Drive.

What we access and why:

• Your calendar list, limited to calendars you can edit, so you can choose which calendar Ringzy books into.
• Start and end times of events on the calendar you choose, for the day a caller asks about, so the receptionist only offers times you are free. We do not read the titles, descriptions, locations, or attendees of your existing events.
• Appointments Ringzy books: we create events on your chosen calendar with the details the caller gives on the call (name, phone number, reason for the appointment, and email if they provide one). When a caller asks to reschedule or cancel, we update or delete only events that Ringzy created.

How we store it: your Google access and refresh tokens are stored encrypted in Supabase Vault and are used only by our servers. We also store the ID of the calendar you chose and, for appointments Ringzy books, the event ID and appointment details alongside the call record so the booking can be changed later. We do not keep copies of your other calendar events.

How we share it: we do not sell Google user data, use it for advertising, or share it with third parties, except as needed to provide the booking feature or as required by law. During a call, the open appointment times Ringzy works out (never the contents of your events) are given to our AI provider, OpenAI, so the receptionist can offer them to the caller. Ringzy does not use Google user data to train or improve AI or machine-learning models.

Removing access: you can disconnect Google Calendar at any time from the Google Calendar page in your Ringzy dashboard. This deletes your Google tokens from our systems right away and turns off appointment booking. You can also revoke access from your Google Account permissions page. Appointments already booked stay on your calendar. If you delete your Ringzy account, the rest of your Google-related data is deleted as described in Data Retention below.

Ringzy's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We retain your account data for as long as your account is active or as needed to provide the Service. Call recordings, transcripts, and summaries are retained for 90 days by default. You may request earlier deletion from your account dashboard.

Upon account deletion, we will delete or anonymize your personal data within 30 days, except where we are required to retain it for legal or regulatory compliance.

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate or incomplete data
• Request deletion of your data ("right to be forgotten")
• Request a portable copy of your data
• Object to or restrict certain processing of your data
• Withdraw consent where processing is based on consent

Ringzy uses cookies and similar tracking technologies for authentication, session management, and website analytics. You can control cookies through your browser settings, though disabling session cookies will prevent you from logging in to the Service.

We partner with Microsoft Clarity and Microsoft Advertising to capture how you use and interact with our website through behavioral metrics, heatmaps, and session replay to improve and market our products/services. Website usage data is captured using first and third-party cookies and other tracking technologies to determine the popularity of products/services and online activity. Additionally, we use this information for site optimization, fraud/security purposes, and advertising. We implement industry-standard security measures including encryption in transit (TLS 1.2+), encryption at rest, and access controls to protect your personal data. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

The Ringzy Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information, please contact us at privacy@ringzy.ai.

We may update this Privacy Policy periodically. We will notify you of significant changes by email or by posting a prominent notice on our website. Your continued use of the Service after changes take effect constitutes acceptance of the revised policy.
